Talent Kick is a Swiss-wide entrepreneurial program that supports the best global talents in forming interdisciplinary teams across Swiss universities and getting hands-on experience as entrepreneurs during their studies. We are looking for a highly motivated Executive Assistant 100% (f/m/d) to lead the back-office operations and administration of Talent Kick and assist the leadership of Talent Kick on strategic initiatives, core processes, and in the day-to-day business.
🎯 Your mission
As the Executive Assistant, you will play a pivotal role in supporting the operational management and strategic growth of Talent Kick. You’ll be an essential part of a dynamic team and support the organization by building structures and documentation to facilitate smooth program execution, promotion, selection, participant management as well as a solid operational, financial, legal back-office and reporting. Additionally, you’ll have the exciting opportunity to support Talent Kick’s leadership and strategic fundraising initiatives to fuel the organization’s future development.

⭐️ Responsibilities:

Financial Management and Fundraising Support: Monitor and manage budgets and program finances, collaborate with foundation accounting teams, and ensure accurate, comprehensive reporting. Make recommendations for funding plans, assist with fundraising, and explore new revenue-generating products/partnerships to foster program sustainability.

Operational Efficiency and Process Optimization: Continuously document and optimize key strategic processes, including promotion and selection, as well as develop new operational strategies to strengthen efficiency and effectiveness of the team. Recommend tools and processes to enhance the team’s effectiveness and streamline daily operations.

Program Selection Coordination: Oversee and streamline the selection process for new talents joining the program, including initial screenings, pitch and interview scheduling, and facilitating final selection decisions in collaboration with the CEO and program manager.

Data Management: Manage and analyze program data on feedback, applications, success factors, and participant development, providing insights to support the leadership of Talent Kick in decision-making.

Legal Compliance and HR: Ensure that all operations and initiatives comply with relevant legal requirements and HR processes, contracts, and best practices are in place. Assist with the hiring and management of new team members, working students, partners, and freelancers.

Project Management and Day-to-day Support: Partner with the CEO and leadership team to support day-to-day business and drive new initiatives.
💡 Ideal profile:

Proven experience in administrative/operational management, fundraising, accounting, and/or reporting.

Passion for structured processes, knowledge management, and AI tools, to drive productivity and efficiency and experience with digital tools, particularly Google Workspace (familiarity with Monday.com is a plus).

Service-oriented mindset, exceptional time-management and organizational skills, with the ability to thrive in a start-up-like environment.

Can-do attitude, and proactive hands-on work style, curious, willing to learn, and excited to evolve with us and the tasks.

Team player with excellent analytical skills and effective communication in English (German or French is a plus) and Master’s degree from a Swiss university in Business Administration, Law, Finance, or another related/ relevant field.
